About the Payroll Coordinator Role
The payroll coordinator is a member of the finance team who will ensure accurate processing and recording of the company’s payroll, provide timely and accurate financial information, and participate in data entry payroll processing. Under the direction of the controller, the payroll coordinator increases the organization’s effectiveness with timely and accurate payroll processing by investigating and resolving payroll issues, and by ensuring strict compliance with company and regulatory standards.
Key Responsibilities: Payroll Coordinator
Overall, in the role of payroll coordinator, you will:
- Prepare the biweekly disbursement of multistate payroll to employees, including benefits and taxes consistent with federal and state wage and hour laws.
- Ensure that all payroll transactions are processed accurately and timely.
- Ensure that systems are set up and updated to reflect current employee base, including wages, taxes, benefits, and paid time off (PTO).
- Support payroll-related leave management processes.
- Complete various payroll-related administrative duties.
- Reconcile payroll prior to transmission and validate reports.
- Monitor fringe benefit deductions and 403(b) contributions.
- Maintain payroll files and backup documentation.
- Maintain and update payroll processing documentation.
- Remain current on state and federal payroll and benefits regulations.
- Research and resolve payroll issues and respond promptly to payroll-related questions from employees.
- Interact closely with human resources to support accurate payroll processing.
- Assist with payroll-related audits or audit request.
- Provide year-end support, research, and reconciliation for auditor requirements.
- Collaborate with the other finance department employees to support overall department goals and objectives.
- Identify and implement process improvements.
- Demonstrate the NYSTEC core values and behaviors.

Required Qualifications: Payroll Coordinator
Candidates applying for the role of payroll coordinator should have the following knowledge, skills, and/or abilities:
- Ensure accuracy and timeliness of information, reports, and daily functions.
- Proficient in the Microsoft Office 365 operating environment using Microsoft Office applications, email, SharePoint, and Human Resources Information System (HRIS) systems.
- Experience with payroll systems, preferably Ultimate Kronos Group (UKG).
- Basic accounting knowledge.
- Strong knowledge of proper taxation of employer paid benefits and of federal and state laws and regulations related to payroll.
- Advanced written and verbal communications skills.
- Detail oriented and demonstrates a high level of accuracy.
- Innovative thinker continually striving for process improvements and efficiencies.
- Must exercise a high degree of confidentiality.
Education and Experience: Payroll Coordinator
For the payroll coordinator, candidates should have the following education/experience:
- A high school diploma or GED and five years of all-encompassing bookkeeping experience for a medium sized organization. Must be experienced in processing payroll, preferably UKG. An equivalent combination of advanced education, training, and experience will be considered.
