About the Office Administrator

The office administrator provides high-level general administrative support to the general corporation –both Internal Services and Service Delivery by providing outstanding service to internal and external stakeholders. This role increases the organization’s effectiveness by proactively coordinating and managing schedules, projects, deadlines, and commitments. This role performs activities as directed, including conducting research, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, facilities maintenance, procurement, providing inventory control, and scheduling meetings. Works under general supervision, receives minimal instruction for new assignments, and exercises a high degree of initiative and discretion in the completion of assigned tasks.

This role will be based out of Rome, New York.

Key Responsibilities: Office Administrator

Overall, in the role of office administrator, you will:

  • Provide logistical support for meetings and events including facility coordination (arranging food and beverages as needed).
  • Plan, coordinate and manage internal resources and vendors to support corporate events, keeping within budget.
  • Provide assistance with travel coordination and event registrations.
  • Perform general office duties including monitoring and maintaining office supplies and managing office common areas.
  • Open, sort, and distribute incoming correspondence, including faxes, mail, and express deliveries.
  • Answer incoming calls, and screen and take messages as appropriate.
  • Greet guests and escort to appropriate meeting rooms as applicable.
  • Conduct IT related equipment shipping and tracking.
  • Negotiate the purchase of goods, services in addition to parking contracts for the corporation.
  • Review and approve employee expense reports.

About You

Required Qualifications: Office Administrator

Candidates applying for the role of office administrator should have the following knowledge, skills, and/or abilities:

  • Knowledge of administrative and business principles.
  • Highly responsive to internal and external customer needs.
  • Detail oriented and high level of accuracy.
  • Excellent time management skills and ability to multi-task and prioritize.
  • Strong emphasis on discretion and confidentiality.
  • Proficient with Microsoft Office suite of products including Word and Outlook.
  • Ability to work onsite as necessary, two to three days per week.
Preferred/Desired Qualifications: Office Administrator

It would be helpful for candidates applying for the office administrator role to have the following knowledge, skills, and/or abilities:

  • Self-starter with excellent problem-solving skills.
  • Sound judgment and independent decision-making ability.
  • Displays a strong personal commitment to successfully completing all projects.
  • Build and maintain positive relationships with open and honest communication, mutual respect, and strong teamwork.
  • The ability to become a certified notary public within six months of hire.
Required Education and Experience: Office Administrator

For the office administrator, candidates should have the following education/experience:

  • A high school diploma and five years of work in an office environment in an administrative capacity. An equivalent combination of advanced education, training, and experience may be considered.
